Terms of service
1. Who we are
QuexAI is a trading name of Jim Thatcher, a sole trader based in the United Kingdom. Address for correspondence: Newland Park Farm, Newland Park Road, Landkey, Barnstaple, Devon, EX32 0LY. Contact us at jim@quexai.co.uk.
In these terms, “we” and “us” mean QuexAI; “you” means the person or organisation holding the account.
2. What the service does
You upload documents you already hold — past answers, policies, product material — and questionnaires, RFPs or supplier forms you need to complete. QuexAI reads the questions, finds relevant material in what you uploaded, and produces a draft response.
It produces drafts. Every answer is yours to check before you send it. See clause 7.
3. Your account
You must give accurate details, keep your password to yourself, and tell us promptly if you think someone else has access. You are responsible for what happens under your account, including anything your invited users do. You must verify your email address before you can sign in.
4. Plans and payment
Prices are in pounds sterling. QuexAI is not registered for VAT, so no VAT is charged and the prices below are the full amount.
- Lite monthly — 7 days free, then £300 per month. Your trial includes up to three documents successfully completed during its seven days. We collect your card details at sign-up through Stripe, but do not take the monthly payment during the trial. Unless you cancel before it ends, the first paid billing month begins after the trial. Each paid billing month includes 15 successfully completed documents; further documents are £25 each. Unused documents do not carry over.
- Lite pay-as-you-go — 7 days free, then £30 per document. Your trial includes up to three documents successfully completed during its seven days. We collect your card details at sign-up through Stripe, but charge nothing at that point. After the trial, we charge £30 immediately before each document is processed. You agree to this when you sign up, and we tell you the exact total before you confirm any upload.
- Enterprise. Priced and agreed separately.
Payments are taken by Stripe. We never see or hold your card number. Where several documents are uploaded at once, each one is charged separately, and we show you the count and the total before anything is charged.
5. Cancelling
You can cancel a monthly subscription, or remove your saved card, at any time from your account settings. Cancelling a monthly trial before it ends stops the first monthly payment. Cancelling a paid month stops future charges; it does not refund the current month, and you keep access until the month you have paid for ends.
6. Refunds
If we charge you for a document and processing then fails, tell us and we will refund that charge. We look at these individually rather than refunding automatically, so please contact us at jim@quexai.co.uk and we will sort it out.
7. Drafts, not advice
QuexAI produces draft text using automated systems, including AI models. It can be wrong, incomplete, or confidently mistaken. You must review every answer before relying on it or sending it to anyone. We do not warrant that output is accurate, complete or fit for any particular purpose, and nothing QuexAI produces is legal, financial or professional advice.
8. Your documents stay yours
You keep all rights in everything you upload and in the drafts produced from it. You grant us permission to store and process your documents solely to provide the service to you.
We do not use your documents to train shared AI models, and we do not share them with other customers. Each customer's material is kept separately and answers are drawn only from that customer's own documents.
You confirm you have the right to upload what you upload, and that doing so does not breach anyone else's confidence or copyright.
9. Acceptable use
Don't upload malware, don't try to break into or overload the service, don't use it to break the law, and don't resell it as your own product without agreeing that with us first. We may suspend an account that does.
10. Availability
We aim to keep the service running but do not promise it will be uninterrupted. We may need to take it down for maintenance. We are not offering a service level guarantee on the plans above.
11. Liability
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
Subject to that, we are not liable for loss of profit, loss of business, loss of contracts, or loss of data, and our total liability to you in any twelve-month period is limited to the amount you paid us in that period.
You are responsible for what you send to third parties, even where QuexAI drafted it.
12. Ending the agreement
You may stop using the service at any time. We may suspend or end your account if you break these terms or fail to pay. On closure we delete your account data as described in the privacy notice below.
13. Changes
We may update these terms. If a change materially affects you we will tell you by email before it takes effect. Continuing to use the service after that means you accept the new version. Earlier versions stay published so you can see what changed.
14. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
Privacy notice
Who controls your data
Jim Thatcher, trading as QuexAI, is the data controller for the personal data described here. Address for correspondence: Newland Park Farm, Newland Park Road, Landkey, Barnstaple, Devon, EX32 0LY. Contact jim@quexai.co.uk with any question about this notice or to exercise the rights below.
What we hold
- Account details — your name, email address, organisation name, and a securely hashed password. We never store your password itself.
- Documents you upload and the drafts produced from them. These may contain personal data if you put it there; you decide what to upload.
- Usage records — sign-in times, IP address, and a log of jobs run, kept so we can run the service securely and investigate problems.
- Billing records — which plan you are on, what was charged, and Stripe's references for it. We never receive or store your card number.
Why we hold it, and on what basis
- To provide the service you have asked for and to take payment for it — performance of a contract.
- To keep the service secure, prevent abuse, and fix faults — our legitimate interests in running a safe service.
- To keep accounting records — legal obligation.
We do not use your data for advertising, we do not sell it, and we do not use your documents to train shared AI models.
Who else processes it
We use a small number of suppliers, each of which only processes data on our instructions:
- Stripe — payments and card storage.
- Postmark — sending service emails such as verification and completed-document notifications.
- DigitalOcean — hosting of the servers the service runs on.
- hCaptcha — abuse prevention on our public forms.
Where it is held
Your documents and account data are held on servers in the United Kingdom. Some suppliers above may process limited data outside the UK under appropriate safeguards.
How long we keep it
- Documents you upload to be completed, and the completed drafts — deleted automatically after 7 days.
- Reference documents you upload to train your library — kept until you delete them or close your account.
- Account and billing records — kept while your account is open, and afterwards only as long as we must for accounting and legal purposes.
Documents are encrypted where they are stored.
Your rights
You can ask us for a copy of your personal data, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable form. Email jim@quexai.co.uk and we will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk, though we would rather you told us first so we can put it right.
Cookies
We use cookies only to keep you signed in and to protect forms against cross-site request forgery. There is no advertising or tracking cookie on this site.
Changes
If we change this notice we will publish the new version here and, where the change materially affects you, tell you by email. Earlier versions remain available.
